1. DEFINITIONS
“Clinic” / “We” / “Cosmos Healthcare” refers to Cosmos Healthcare Ltd.
“Participant” / “You” refers to the individual receiving services or their legal guardian.
“Services” refers to all assessments, consultations, recordings, and protocol planning provided during the Europe Meetings.
“Event” refers to the scheduled in-person Europe Meeting in a specific city and date.
2. NATURE OF SERVICES
2.1 The Services provided include, but are not limited to:
- Quantitative EEG (qEEG) recording and analysis
- NeuroMap® brain mapping
- Clinical consultation and interpretation
- Neuromodulation protocol planning (e.g., TMS/tDCS recommendations)
2.2 Services are delivered as same-day assessment and planning sessions, not as ongoing treatment.
2.3 The Services are advisory and clinical decision-support in nature and do not replace formal diagnosis or ongoing medical care by a licensed physician.
3. NO GUARANTEE OF OUTCOME
3.1 The Clinic does not guarantee any specific clinical outcome, improvement, or therapeutic response.
3.2 All recommendations are based on available data at the time of assessment and may require adaptation over time.
4. BOOKING AND CONFIRMATION
4.1 All bookings must be made through the official booking system.
4.2 A booking is only confirmed once full payment has been received.
4.3 The Clinic reserves the right to refuse or cancel bookings where clinically inappropriate or operationally unfeasible.
5. PAYMENT TERMS
5.1 Payment must be made in full at the time of booking unless otherwise stated.
5.2 Prices are subject to change without notice prior to booking confirmation.
5.3 All payments are processed securely via designated payment systems.
6. CANCELLATION AND REFUND POLICY
6.1 Cancellation by Participant:
- More than 14 days before the Event: Full refund
- 7–14 days before the Event: 50% refund
- Less than 7 days before the Event: No refund
6.2 Failure to attend (“No-show”) will result in no refund.
6.3 In exceptional medical circumstances, supported by official documentation, the Clinic may offer rescheduling at its discretion.
7. RESCHEDULING
7.1 Requests to reschedule must be submitted in writing.
7.2 Rescheduling is subject to availability and is not guaranteed.
7.3 Late rescheduling requests (within 7 days) may be declined.
8. CLINICAL ELIGIBILITY AND SAFETY
8.1 Participants must provide accurate and complete medical history, including:
- Neurological conditions
- Medications
- Implants or medical devices
- History of seizures or epilepsy
8.2 The Clinic reserves the right to:
- Decline or postpone Services
- Modify assessment procedures
- Restrict certain recommendations
if safety concerns arise.
9. PARTICIPANT RESPONSIBILITIES
9.1 You agree to:
- Provide accurate information
- Follow all instructions during assessment
- Arrive on time
9.2 Late arrival may result in shortened sessions or cancellation without refund.
10. EVENT STRUCTURE AND TIME MANAGEMENT
10.1 Services are delivered within a fixed daily schedule.
10.2 Due to the intensive nature of the Event:
- Delays cannot always be accommodated
- Extensions are not guaranteed
11. TRAVEL AND ACCOMMODATION
11.1 Participants are responsible for their own:
- Travel arrangements
- Accommodation
- Insurance
11.2 The Clinic is not liable for any costs incurred due to changes or cancellations.
12. ON-SITE PRODUCTS AND OPTIONAL SERVICES
12.1 Any products (e.g., devices, supplements) offered are optional.
12.2 Separate terms may apply to purchased products.
12.3 Use of such products is the responsibility of the Participant and subject to separate guidance.
13. DATA PROTECTION AND PRIVACY
13.1 All personal and medical data is handled in accordance with:
- GDPR (EU/UK)
- Applicable data protection laws
13.2 Data is used solely for:
- Clinical assessment
- Service delivery
13.3 Data will not be shared with third parties without explicit consent, unless required by law.
14. MEDIA AND RECORDING
14.1 The Clinic may capture photos/videos during Events.
14.2 Identifiable images will not be used without explicit written consent.
14.3 Anonymised data may be used for research or educational purposes.
15. LIMITATION OF LIABILITY
15.1 The Clinic shall not be liable for:
- Indirect or consequential damages
- Travel-related losses
- Personal decisions made based on recommendations
15.2 Total liability shall not exceed the amount paid for the Services.
16. FORCE MAJEURE
16.1 The Clinic shall not be liable for failure to perform due to events beyond its control, including:
- Natural disasters
- Travel restrictions
- Government actions
- Public health emergencies
16.2 In such cases, rescheduling or credit may be offered.
17. EVENT MODIFICATIONS
17.1 The Clinic reserves the right to modify:
17.2 Participants will be informed as early as reasonably possible.
18. GOVERNING LAW
18.1 These Terms shall be governed by and construed in accordance with the laws of England and Wales.
18.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
